District 51 Club PSA Video Contest 2011/2012

Greetings Fellow Toastmasters!

We’re pleased to announce a club PR video contest — the District 51 Club PSA Video Contest 2011/2012!

A Public Service Announcement (PSA) is a type of advertisement featured on television, radio, print or other media. Whereas the objective of a standard advertisement is to market a product, a PSA is intended to change public interest, by raising awareness of an issue, affecting public attitudes, and potentially stimulating action.

This contest aims to encourage the usage of contemporary internet media like video clips as PR tools for Toastmasters clubs, as well as to promote the awareness on Toastmasters rebranding.

Entries must be received by the D51 PR team by March 31, 2012. For details, please check out:

Passion Drive 3 & 4

Dear Division Governors and Area Governors,

YES, YES, YES, our Membership Drive is back!

Passion Drive 3 and 4 promise more attractive rewards for members and clubs that help District 51 grow.

PASSION DRIVE 3: For Individual toastmasters in District 51 who sponsor new members from 1 December to 20 March 2011.

*Please make sure the sponsor’s name is filled in correctly in the membership application form (see below).

Message from LGM – Passion Drive 1

Dear Club Officers,

You are doing a wonderful job with Passion Drive-1.

Go, go, go…Give yourself another push, and you’ll reach the finishing line.

Here’s more good news. We have decided to give weaker clubs with at least 12 membership base something to look forward to. If you can meet the criteria of Passion Drive-1, you will also qualify for a full reimbursement of the club banner!

It’ll be great feeling, knowing that you have not let challenges defeat you; knowing that you have exceeded all expectations -  to lead your respective clubs and members, to achieve goals that you thought would take the entire term to realise.

So how do we make sure our efforts are being recognised?  

How do get full reimbursement on the club banner?

1)      A: Complete the “Passion Drive-1” application form. Make sure you provide all details required.

2)      B: Complete the CONFIRMATION letter.

3)      Please scan and email the completed A&B to Passion Drive-1 Coordinator, Jackie Loi  (jackieloieco@yahoo.com)  and c.c LGM Kiang Faang Pyng (kfpyng@gmail.com) on or before 30 September 2011.

 *Jackie Loi is from Premier Advanced Toastmasters Club in Area P3.

*For online payment, please provide the transaction reference number to Jackie Loi and Kiang Faang Pyng.

The District will organise the bulk purchase of the Club Banners from Toastmasters International in order to save on shipping charges.

In addition to that, we want to place our order before October 2011, in order to enjoy a 20% discount (this is why your payment of RM300 must reach the District latest by 25 September, 2011).

*Please note: Should any club name and/ or club number be wrongly printed in the USA, it would be  very costly to courier the banners to TI to be corrected and then back to Malaysia.  To avoid having to incur such costly courier charges, the printing of the respective club names and club numbers will be done locally.

The District is committed to provide full reimbursement of RM300 to participating clubs that succeed in Passion Drive-1,  in April 2012, when these clubs renew another 15 (minimum) membership dues, for the period 1 April – 30 September 2012.

Dear District Officers and Club Officers,

We are into mid-July and I trust we are all fully-settled into our respective roles as District Officers/ Club Officers for the term 2011-2012.

Let us, in our commitment to SERVE WITH PASSIONengage our gears and be ready for ourDrive of Excellence.

To promote a lead start in steering our clubs and District to achieve our goals, District 51 2011-2012 has introduced “Passion Drive 1 & 2” Membership and Educational boost Campaign for the months July, August and September 2011.

Passion Drive -1

To clubs to qualify:

  • Recruits five (5) or more new members;
  • Achieves any two (2) educational goals;
  • Provides details of two(2) club leads: Name of community/ corporate organisation; contact person’s name; email address and telephone number/ numbers;
  • Succeeds in having at least four (4) Club Officers trained at TLI-1.
  • Minimum fifteen (15) membership renewal for six (6) months for 1 october 2011 to 31 March 2012 + Confirmation letter for fifteen (15) membership renewal for 1 April 2012 to 30 September 2012.(revised)

Reward:

Get FULL reimbursement on your purchase for an original club banner (imported from Toastmasters International USA) with new TI logo, when your club fulfills all criteria, including successful membership renewal for fifteen (15) for 1 April 2012 to 30 september 2012. (revised)

Please Take Note:

Toastmasters International Headquarters welcomes membership renewal for twelve (12) months. However, the current online payment system only facilitates dues renewal for a period of six (6) month.

What participating clubs need to do is to complete the membership renewal list and, together with payment, send to Toastmasters International HQ .

For Passion-Drive 2, the District encourages Division Governors to share the Gift Vouchers with the respective Area Governors who assist in getting the new club chartered. We recommend at least a 50-50 share, but Division Governors will use their discretion to decide.

Please be reminded that these Gift Vouchers are meant for the use of the Divisions, Areas and/or Clubs, to purchase educational materials.

New Club Chartering Procedures

Step 1

New Club lead is received/identified by a member.

Step 2

To contact the Club President / AG / DvG / District.

Step 3

AG/DvG engages on the lead and arranges for a presentation on TM. This time district should be advised by a note to DG & LGM.

Step 4

Follow-up sessions are made and a demo meeting is arranged.  Demo Meeting must be with full enthusiasm and it is suggested that members from the Area to which the Club is to be ”attached” must (as far as possible) be there to assist.   The Mentor and Sponsors must be identified already by this time.   So that at the Demo we can inform the new club that the Mentors & Sponsors will be there to guide them.  Thus building confidence and establishing the rapport.

Step 5

Division Council with the LGM to coordinate resources/materials for a GOOD SHOW of the event;

Step 6

Clear contact points established and way forward from the demo mtg. Follow-up should be fast in having the forms completed and payment arranged.

Step 7

Once forms completed, those forms should be submitted to LGM for his checking and onward routing to DG. DG shall then route it to TI if its online. If its by way of manual courier/post, the club to proceed upon the DG’s endorsement.

Step 8

DG follows up with TI on the progress and ensures the club is chartered ASAP.

Step 9

Prior to that normally clubs will start having their meetings and this is a crucial period for support.   Mentors and Sponsors including all those who wish to help out (i.e. the sponsoring Club) must show presence.   Once club chartered, the Senior D51 Officers ( at least 1 ) to be present at their inaugural meeting or any other meeting to present the Charter Certs. In the absence of the senior officers, DvG can present.

Step 10

The club mentors are to then be informed of their commitment and to present themselves at for EVERY meeting for the next 6 months to earn credit. Simultaneously the club mentors will be introduced to our Club Mentoring Chair, Cindy Wong for necessary support and in ensuring the club sustains its membership while getting the relevant help from club mentors.

Ideally the new clubs will be aligned to the same Area/Division of the sponsoring clubs/sponsors in order to be extended the continuous support for at least a year. This will of course be revisited in line with the REALIGNMENT procedures outlined by TI during the tail-end of the term, so that changes could be made if deemed necessary in the best interest of the members, club and district for the following term.

The role of the Club Mentoring Chair is critical in ensuring the new CLUBs are supported well by the Club Mentors as we want continuous support to be injected in ensuring sustainability. Whilst it takes much effort and time in giving birth to a new baby, we need to ensure these babies are accorded the necessary care on the whole Toastmasters program till they are able to familiarise, gain confidence and stand on their own feet.

Every successful lead will be acknowledged and duly recognised by the District.
